Position Summary:
The Accounts Payable Analyst is responsible for processing invoices, maintaining accurate records of financial transactions, and ensuring timely payments to vendors and suppliers. This role plays a critical part in maintaining the financial health of the organization by accurately managing accounts payable processes.

Position Summary:
The Accounts Payable Analyst is responsible for processing invoices, maintaining accurate records of financial transactions, and ensuring timely payments to vendors and suppliers. This role plays a critical part in maintaining the financial health of the organization by accurately managing accounts payable processes.
Invoice Processing:
- Receive, review, and verify invoices for accuracy and completeness.
- Match invoices with purchase orders and receiving documents to ensure proper authorization and goods receipt.
- Code invoices with appropriate general ledger account numbers.
- Process payments by verifying documentation and requesting disbursements.
- Prepare and schedule payment runs, including checks, electronic transfers, and ACH payments.
- Address payment discrepancies and resolve billing issues with vendors and internal stakeholders.
- Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments or stop-payment orders as needed.
- Maintain vendor files and records, including W-9 forms and payment terms.
- Communicate with vendors regarding invoice inquiries, statements, and payment status.
- Assist with vendor inquiries and reconciliations as needed.
- Reconcile accounts payable transactions and resolve discrepancies.
- Assist in month-end closing processes, including accruals and journal entries related to accounts payable.
- Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records.
- Calculates and reports sales and use tax.
- Ensure compliance with company policies, procedures, and accounting regulations.
- Prepare and maintain accurate financial reports related to accounts payable activities.
- Assist with audits by providing documentation and support as required.
- High school diploma or equivalent required; Degree in Accounting or related field preferred.
- Certified Accounts Payable Professional (CAPP) certification preferred.
- Proven experience as an Accounts Payable Clerk or similar role.
- Proficiency in accounting software and MS Office, particularly Excel and Word.
- Strong attention to detail and accuracy in data entry and financial record-keeping.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Effective communication skills, both verbal and written.
- Ability to maintain confidentiality and work independently and collaboratively in a fast-paced environment.
- This position typically operates in an office environment. The role may require extended periods of sitting, standing, or working at a computer.
- Occasional lifting of boxes or files may be required.
